Now that you have put all the hard work into planning your Celebration, let us be there to make sure it all comes together! Your Celebration coordinator will be there to ensure that everything and everyone is in place for your big day.
Everyway Events will make the vision of celebration you've created, a reality!
Full Day of Service, up to 50 guests
Includes:
2 x in-person meetings 2-4 weeks prior to event
Unlimited access to the Celebration Coordinator for two weeks prior to the event
Confirmation calls to all service providers within the week prior to event
Venue Inspection the day prior
Full day of attendance for the Celebration
Final Venue Inspection
Upon signing the contract for this package, the Celebration coordinator will be there to ensure all the details you've planned are executed perfectly! For two weeks prior to your event you will have unlimited phone, text, and email access with your Celebration coordinator.
Prior to the Event.....
Within 2-4 weeks prior to your Celebration, we will arrange two in-person meetings. You are welcome to invite others who are important in your celebration to attend these meetings as well. These meetings will ensure that we all have a solid understanding of how the day will unfold, and address any adjustments that may be needed closer to the date.
Here's what we will be going over:
Service Providers- This may include venue, caterers, officiants, florists & decor, entertainment, clean-up crew, etc.
Contact Information-We will require all contact information for service providers. Feel free to provide our information to the service providers so that we may act as a point person for all of their inquiries.
Timelines- Are the specific timelines for setting up, starting events, wrapping up the festivities? How precise do these timelines need to be and how much would you like us to ensure that they are adhered to?
Logistics-This may include a wide array of details such as parking, service deliveries, accessibility requirements, venue layout, seating plans, etc.
Legal documents-We will confirm that all required documents are completed, and present at the event. For example: marriage license, liquor license, event insurance. This may also include ensuring all service contracts are signed and adhered to.
Specific decor & sentimental items- If there are items of sentiment that you want at your event, we will ensure that they arrive safely, are displayed appropriately and gathered at the end of the event. We will also make arrangements for gift acceptance and ensuring gifts get home to you.
Specific Guest Needs- Perhaps there are guests who require special attention, need to be in certain places at set times, or just may need extra supports. We will ensure that all your guests needs are met so they can enjoy the celebration.
Alternate arrangements- Last minute adjustments and issues always arise. Together, we will make plans to the best of our abilities to address possible issues that may arise and what can be done to ensure the celebration continues smoothly. It is always best to have a "plan B" in place, specifically for incremental weather.
During the week prior to your big event, your Celebration coordinator will contact all service providers to ensure timelines and final details are understood.
The day prior to the event we will inspect the venue, and ensure everything is in place for the Celebration.
Our priority is to make sure no pieces are missing for the day, so that you can enjoy the day!
The Day of the Event.....
On the day of your Celebration, you can wake up with peace of mind knowing that your Celebration coordinator will be there for you! From first thing in the morning, until your guests depart for the night, your Celebration coordinator will be present and ready to support you and all your Celebration needs.
During the day, your Celebration coordinator will...
First and foremost, we are here to provide you with emotional reassurance and ensure you never feel overwhelmed. You are our priority, and on your special day-what you say goes!!
In the morning we will inspect the venue final setup and ensure that all the specific details are in place.
From arrival to departure, we will oversee and monitor all service providers to ensure services are delivered with the utmost care and precision.
Prior to and during the event we will ensure that timelines are being met. Should issues arise, we will troubleshoot to ensure the celebration runs smoothly regardless of any unexpected issues.
When your guests begin to arrive, we will be on-hand to greet them, answer questions, guide them through the event and attend to guests' needs to ensure their experiences are positively memorable!
Throughout the entire day, your Celebration coordinator will serve as the primary contact person for you, the vendors and your guests. With excellent communication skills, natural leadership and a panache for mingling, your service providers and guests will recognize the Celebration coordinator as the "go to" person.
After the Event.....
When the party's over, we will ensure that the clean up crew is organized and getting down to business. We will collect any gifts, donations, and decor items and ensure that they are safely returned to you.
Note: We will remain on-hand after the event for up to three hours. This service concludes at 1am. Moving furniture and other heavy lifting is not included.
Rest assured, your Celebration will be all that you envisioned with your Celebration coordinator guiding the day!
